Outlook 2007

Set up Account

Exchange

  1. If open, close Outlook 2007.

  2. Open the Windows Control Panel from Start, Control Panel.

  3. Double-click the Mail icon. 
    Note: In Windows Vista it might be necessary to temporarily select the Classic View option.

  4. Click the E-mail Accounts button, and then click the New icon. Select Microsoft Exchange, POP3, IMAP or HTTP. Click Next.

  5. If your workstation is part of the uark.edu Active Directory domain, it will automatically configure your Exchange mailbox settings. 
    If your workstation is not part of the uark.edu Active Directory domain, enter your name and your complete UARK email address in the form of username@uark.edu (replacing "username" with your actual UARK username). Enter your UARK email password and confirm. Click Next. Outlook should automatically configure from this point.
    Note: If prompted, enter your complete UARK email address and password in order to connect to Exchange.

UARK Email

  1. Open Outlook.

  2. From the menu bar, click Tools, Account Settings.

  3. Click the Email tab.

  4. Click New.

  5. Select the Microsoft Exchange, POP3, IMAP or HTTP option. Cick Next.

  6. Put a check mark in "Manually configure server settings or additional server types", and click Next.

  7. Select the Internet Email option, and click Next.

  8. Enter your name in the Your Name field.

  9. Enter your email address in the Email address field.

  10. Select IMAP for the account type.

  11. Enter:
    mail.uark.edu
    for the Incoming mail server

  12. If you are on campus enter:
    mail.uark.edu
    for the Outgoing mail server (SMTP); click Next.
    If you are off campus or on a laptop that will be used off campus to send email, enter:
    smtp.uark.edu
    for the Outgoing mail server (SMTP); click Next.

  13. Enter your UARK username in the User Name field.

  14. Fill in your password in the Password field.

  15. Leave the "Require logon using Secure Password Authentication (SPA)" box unchecked.

  16. Click the More Settings button.

  17. Click the Outgoing Server tab. Select the "My outgoing server (SMTP) requires authentication" option. Ensure Use same settings as my incoming mail server is selected.

  18. Click the Advanced tab.

  19. If you are on campus, select TLS in the drop-down menu next to the Use the following type of encrypted connection option for both the Outgoing server (SMTP) and Incoming server (IMAP) servers.
    If you are off campus or on a laptop that will be used off campus to send email:
    Select TLS in the drop-down menu next to the "Use the following type of encrypted connection" option for both the Outgoing server (SMTP) and Incoming server (IMAP) servers.
    Change the port number under Outgoing server (SMTP): to 2626

  20. Click OK, Next, Finish.

Accessing the UA Directory

Lightweight Directory Access Protocol provides a simple protocol that allows you to access and search email addresses on campus.

  1. Open Outlook.

  2. From the menu bar, click Tools, Account Settings.

  3. Select the Address Books tab.

  4. Click New.

  5. Select Internet Directory Service (LDAP); click Next.

  6. For the Server Name, enter:
    acme.uark.edu

  7. Leave the "This server requires me to log on" box unchecked.

  8. Click More settings. Click the Search tab.

  9. Select Custom under the Search Base section.

  10. In the Search base field, enter:
    ou=People,o=uark.edu,o=UoA

  11. Click OK, Next, Finish.

  12. Exit and reopen Outlook for the new settings to take effect. Acme.uark.edu will now show as a searchable address book when looking for contact information.

Permanently Delete Email

To PERMANENTLY remove deleted email from the email server:

  1. Open Outlook.

  2. From each of the folders you wish to remove deleted messages, go to the menu bar, select Edit, then select Purge Marked Items in options. Choose from options to purge a folder, an account, or all accounts.

Alternatively, you may choose to purge items marked for deletion when you switch to another folder while online. The items marked for deletion in the original folder are permanently purged from the mail server. When switching folders offline, the items will not be purged.

  1. Open Outlook.

  2. From the menu bar, select Edit, Purge, Purge Options.

  3. Click the General tab.

  4. Select the box next to Purge items when switching folders while online.

  5. Click OK.

HTML or Rich Text Settings

Not everyone has email software that is compatible with formatted text features available within Outlook, so they cannot see the intended benefits. Many times what is seen is garbled text or the actual HTML code behind the message. Plain text is recommended for universal compatibility but will not display any enhancements such as font sizing, bolding, underlining and Web links.

  1. Open Outlook. From the menu bar, click Tools, Options.

  2. Select the Mail Format tab.

  3. Under Message format, select Plain Text.

  4. Click OK.

Out of Office (Vacation) Message

  1. Click Tools, Out of Office Assistant.

  2. Change the start and end dates you want the message sent to people inside the organization (uark.edu users) and people outside of the organization (external recipients).

  3. Click OK to confirm the settings.

Expanding Full Headers

Full headers are needed for error tracing and abuse reporting. If you have received abusive email and would like to report it, forward the email to abuse@uark.edu with the headers fully expanded.

To expand full headers in Outlook:

  1. Right or alternate-click the closed message, and select Message Options.

  2. The expanded header is displayed in the Internet Headers field.

  3. To send the full header, copy and paste the Internet Headers information into the message and forward.

Passwords

To reset your password online, go to Password Manager. For more information on guidelines, password expirations and more, visit the Passwords page.

If you save your password within Microsoft Outlook, after using Password Manager to change the password for your UARK account, you must update Microsoft Outlook with your new password.

  1. On the menu, select Tools, then click Account Settings.

  2. Select the email account that you want to update with the new password, and then click Change.

  3. In the Password box, type your new password, and then click Next.

  4. Click Finish; click Close.

Outlook Calendar Import/Export

Import to Outlook Calendar

  1. Open Outlook.

  2. Select File, Import and Export from Outlook's menu.

  3. Select an action to perform. The option to Import from another program or file will allow for the Comma Separated Values (Windows) file type mentioned below; click Next.

  4. Select Comma Separated Values (Windows) as the file format to import; click Next.

  5. Browse to and select the file you wish to import. Select options on how to handle duplicate events. Click Next.

  6. Select the Calendar as the destination folder. Click Next.

  7. Select from options (or accept defaults) to Map Custom fields or change the destination folder; click Finish.
    Note: Internet Calendar (.ics) files can be imported to Outlook by double-clicking the file.

Export Outlook Calendar

  1. Open Outlook.

  2. Select File, Import and Export from Outlook's menu.

  3. Select Export to a file; click Next.

  4. Select the type of file to export (Comma Separated Values (Windows) is compatible with many programs); click Next.

  5. In the folder list presented, select the Calendar folder as the folder to export from; click Next.

  6. Click the Browse button to select an easily accessible location to save the exported file. Name the file and click OK; click Next.

  7. Under "The following actions will be performed:", the export information should be listed as Export "Appointments" from folder: Calendar with a check mark in the box next to it.

  8. Click Finish. Set a date range and click OK.
    Note: To export recurring appointments or tasks, export as the .PST (Outlook) file type.

Sending Mail on Behalf of Another User

Delegates can send items on your behalf, including creating and responding to meeting requests.

  1. Click Tools, Options. 

  2. Click the Delegates tab.

  3. Click the Add button to designate a user to send mail on your behalf.

Deleted Items

The following instructions apply to Exchange users in Outlok 2007.

Empty the Deleted Items Folder Automatically

  1. Click Tools. Click Options.

  2. Click the Other tab and click "Empty Deleted Items folder upon exiting."

Recover Deleted Items

  1. Click Tools.

  2. Click Recover Deleted Items.

Purge Recovered Deleted Items

  1. Click Tools.

  2. Click Recover Deleted Items. Click Purge.

Additional Storage Space

Additional storage space for Exchange accounts can be requested through the Exchange Quota Request form. It is recommended that the archiving features in Outlook be used prior to requesting more space. For non-Exchange accounts, create an AskIT case to request additional storage space.

An Archive file can be created by selecting File, then Archive. Archive files can be copied to various media including flash drives, CD/DVD media and external file storage devices. Archive files should be stored in a secure location since they can be opened with any Outlook client unless encrypted.

Subscribing to Newsgroups

Outlook 2007 will not function as a newsgroup reader, but it does have the ability to read Really Simple Syndication (RSS) feeds. RSS feeds can be configured from the RSS Feeds tab in Tools, Account Settings.

Troubleshooting

In Outlook, I get the message: "The Microsoft Exchange administrator has made a change that requires you to quit and restart Outlook."

When your mailbox is moved between databases on Exchange you will receive this message and must close and restart Outlook.

A mailbox might be moved for several reasons:

  • To balance users on mailbox servers based on performance and space utilization,

  • If a mailbox server is upgraded all users on that server would be moved to the new one,

  • A quota increase is requested. Quotas are set per database so a quote increase requires a mailbox move.

Outlook is simply updating itself with the new path to your mailbox. A user should experience a maximum of a 30 minute outage when the mailbox is moved. The time varies based on the size of the mailbox and how fast the change gets replicated through Active Directory.

While using Outlook with Exchange from off campus, I experience a delay in receiving email or experience other connectivity problems.

Change the Connection Settings in Outlook:

  1. Click Tools and Account Settings.

  2. Double-click on your Exchange account.

  3. Select More Settings.

  4. Click the Connection tab.

  5. Select the Exchange proxy settings button.

  6. Check the box next to On fast networks, connect using HTTP first, then connect using TCP/IP.

  7. Click OK to confirm the settings change; follow the prompts. 

  8. Restart Outlook in order for the change to take effect.
