Sharing an Exchange Calendar

An Exchange Online calendar can be shared with another person or with the public. Sharing calendars allows another person to view or "pencil in" events for someone else. Although calendar sharing gives another person read or write access, ownership of the calendar stays exclusively with the original account owner.

Share a Calendar

To share a calendar with someone who has a UARK email account:

  1. Log into outlook.office.com with your UARK email address and password.
  2. Click the Office 365 tile icon at the top and select Calendar.
  3. Right-click the calendar you wish to share and select Sharing Permissions.
  4. In the Sharing invitation field, enter the email address of the person you with whom you want to share your calendar.
  5. From the drop-down menu next to the user, choose from:
    • Can view when I'm busy
    • Can view titles and locations
    • Can view all details
    • Can edit
    • Delegate (available only when sharing with other UARK accounts)
  6. Click Share.

If you are sharing a calendar with a non-UARK email account, an .ics file will be sent for them to view in their own calendar application.

Add a Calendar

  1. Log into outlook.office.com with your UARK email address and password.
  2. Click the Office 365 tile icon at the top and select Calendar.
  3. Right-click the Your calendars header on the left. Select Open calendar.
    • If you are adding a calendar for a UARK account, enter the email address or full name in the From Directory field.
    • If you are adding a calendar for a non-UARK account, enter the calendar URL in the Internet Calendar field.
  4. Click Open.

Change Sharing Permissions

  1. Log into outlook.office.com with your UARK email address and password.
  2. Click Office 365 tile icon at the top and select Calendar.
  3. Right-click the calendar name on the left and select Sharing permissions.
  4. Next to the user's name, select a new permission setting from the drop-down menu. Click the trash can icon on the right to stop sharing the calendar with the user.
  5. Click Done.

Publish Public Calendar

Publishing a public calendar makes it easy to share your UARK calendar with people who do not have UARK accounts.

  1. Log into outlook.office.com with your UARK email address and password.
  2. Click the Settings gear icon in the top right. Under the header "Your app settings," select Calendar.
  3. From the menu on the left, click Publish calendar.
  4. From the drop-down menu, select the calendar to be published.
  5. From the Select permissions drop-down menu, choose the appropriate permission settings.
  6. Click Save.

A web URL and an ICS address will be provided. You can distribute these links to share your public calendar with others. 

Stop Publishing a Calendar

  1. Log into outlook.office.com with your UARK email address and password.
  2. Click the Settings gear in the top right. Under the header "Your app settings," select Calendar.
  3. From the menu on the left, click Publish calendar.
  4. Select the calendar that you want to stop publishing or sharing.
  5. From the Select permissions drop-down menu, select Not shared.
  6. Click Save.
