Document Imaging and Management

Document imaging can be used by departments to securely store and retrieve all types of electronic documents, route them through workflows, annotate, digitally sign and add retention policy information.

The campus document management system is currently Perceptive Content from Lexmark. Departments and units interested in learning more about document management or gaining access to the system can submit a request.

Perceptive Content

The Perceptive Content application for Windows is available for working with large volumes of files, complex workflows, batch scanning and indexing, and bulk loading of documents.

Perceptive Content WebApp

Log into the Perceptive Content WebApp to search for documents, annotate, process within workflows and manually add scanned images or existing electronic documents. This WebApp is Java-based, and as a result only Internet Explorer and Firefox ESR (v 52) are supported. The Firefox ESR installation media are available upon request.

Kofax Capture

Kofax Capture offers batch scanning, image clean-up capabilities and compatibility with most USB scanners. It also has character recognition capabilities that can extract data from typed or written text, check boxes and bar codes.

For access to Kofax for your department or unit, submit a request. IT Services will build the batch class structures for your department or unit. Once the structure is created and security is set up, follow the Kofax pre-installation instructions.

Kofax Capture WebApp

Log into the Kofax Capture WebApp to submit scanned images of Pcard Receipts and Tcard Receipts to Business Services for processing. Some other departments also use Kofax KFS for departmental image storage in Perceptive Content.

If your department is set up to submit documents on the web, and you need to access Kofax Capture from off campus, start by connecting to VPN and then use the Kofax KFS web version.

More Information

Documents in the system are managed by department, and access to documents is granted by the department. To find out which department manages a document or a document group, submit a request.
